Terms of Service — Police Welfare Association (via Police Welfare Portal System)

Effective Date: November 28, 2025

1. Introduction

These Terms govern your use of the Police Welfare Association's digital transparency and accountability platform, accessed through the Police Welfare Portal System ("Police Welfare Portal").

Police Welfare Portal is a secure technology tool used exclusively by the Police Welfare Association (PWA) to manage member services, financial programs, requests, records, and executive workflows.

By accessing this system, you acknowledge that all authority, rules, and data ownership belong to the Police Welfare Association, not Police Welfare Portal as a brand.

2. Authorized Use Only

This system is intended solely for:

  • Active members of the Police Welfare Association
  • Authorized PWA executives and administrators
  • Personnel granted official access by the PWA

Use of the system must directly support the welfare, financial assistance, administrative, or accountability activities of the Association.

Unauthorized use is strictly prohibited.

3. User Responsibilities

Users of the PWA system must:

  • Safeguard their login credentials
  • Access only the modules authorized by the Association
  • Enter truthful and accurate information
  • Maintain the confidentiality of member data
  • Follow the Association's policies, rules, and lawful instructions

All actions taken inside the system may be logged for transparency and audit purposes.

4. Prohibited Actions

The following actions are strictly forbidden:

  • Attempting to bypass, disable, or manipulate Police Welfare Portal security
  • Accessing, modifying, or viewing records without authorization
  • Interfering with or disrupting system operations
  • Uploading malicious files or harmful data
  • Sharing PWA data without official approval
  • Impersonating another officer, member, or executive

Violations may result in account suspension, administrative review, disciplinary action, or referral to lawful authorities.

5. Data Ownership & Authority

All records, forms, logs, communications, and financial data processed through Police Welfare Portal are the sole property of the Police Welfare Association.

Police Welfare Portal serves only as the secure digital platform. It does not own, control, or claim rights over the Association's data.

6. System Availability & Liability

The system is provided to assist the Association with operations and transparency. It is offered "as-is":

  • No guarantee of uninterrupted access
  • No liability for user mistakes or unauthorized actions
  • No responsibility for network failures or device issues
  • No compensation for service interruptions

The PWA and its technical team will ensure reasonable security, maintenance, and availability.

7. Updates & Modifications

The Police Welfare Association may update, improve, or modify the system without prior notice.

Police Welfare Portal may also apply security or performance updates.

Continued use after changes indicates acceptance of the revised Terms.

8. Account Suspension or Termination

The PWA may suspend or terminate system access if:

  • A user violates these Terms
  • Unauthorized activity is detected
  • The user is no longer a member or executive
  • Security concerns arise

All suspension or termination actions will be logged and may undergo review.
